It sets out which AI tools students and staff may use and for what, how personal data is protected, how AI use relates to academic integrity, and who reviews the rules and when. Without one, rules differ from class to class, and teachers end up making privacy and fairness decisions one case at a time.

Good policies tend to follow the same steps. 1. Start with purpose. Say why the school uses or limits AI, and connect that to learning, safety and fairness rather than listing banned products. 2. Build a small, mixed working group: leadership, teachers from different subjects, IT, the data protection or safeguarding lead, and ideally students and parents. Rules written only by leadership often miss how students actually use these tools. 3. Audit current use. Staff and students are probably already using AI for emails, lesson plans and homework. 4. Define the scope. Cover student use, staff use (such as drafting reports or feedback) and administrative use. 5. Set rules for tools and data. Keep an approved list, and ban entering personal data into unapproved tools. Follow the privacy law that applies, such as FERPA and COPPA in the US or GDPR in the UK and EU. Respect age limits. UNESCO's 2023 guidance on generative AI in education proposed a minimum age of 13 for independent use, and many consumer AI tools require users to be 13 or older, with parental consent for minors. 6. Connect to academic integrity. Give teachers a shared way to state how much AI each assignment allows, and a fair process for suspected misuse. 7. Plan training and communication, especially for parents. 8. Set a review date and name an owner. Free starting points include the TeachAI toolkit, the UK Department for Education's policy paper on generative AI in education, and the US Office of Educational Technology's 2023 report on AI and teaching. One misconception is that a blanket ban is simplest. It is hard to enforce, because students use AI at home and on their phones. Another is that the policy is only about cheating. Data protection and staff use matter just as much.

The Future of Writing a School AI Policy

Governments and education authorities are still publishing and revising guidance, so school policies will need regular updates, not a one-time approval. AI features are increasingly built into software schools already license. That may move the policy's focus from approving separate apps to deciding which features to switch on. Assessment design is likely to matter more than enforcement, with more in-class work and process evidence. Whether age limits, privacy rules and procurement standards for education AI become consistent across countries is still uncertain.

A secondary school forms a working group to draft its policy: two teachers, the IT lead, the safeguarding or data protection lead, a parent and two students.

A district keeps an approved-tools list. Each tool is checked against student privacy law and its own terms of service, including age minimums such as a 13+ requirement.
