A syllabus AI policy statement tells students whether and how they may use generative AI in one course.
It usually takes one of three positions: no use, limited or conditional use, or open use with disclosure. It also says how use must be disclosed and what happens if the rules are broken. It matters because many institutions leave the decision to individual instructors, and a student taking several courses can face several different sets of rules.
A clear statement usually has eight parts. 1. The default position for the course. 2. Specific examples of allowed and prohibited uses. Name the activities, such as brainstorming, outlining, drafting, editing, coding and translating, instead of just saying "AI use." 3. How to disclose. For example, a short note giving the tool, what it was used for, and how the output was changed. 4. A reason tied to the course's learning outcomes. Students follow rules better when they understand why they exist. 5. A statement that students are responsible for accuracy, including made-up facts or citations. 6. A privacy reminder not to paste in other people's work or personal data. 7. A link to the institution's academic integrity policy and a description of how suspected misuse will be handled. 8. A note that the policy may change, with notice. Each position has trade-offs. A ban is simple to state but needs assessment design to back it up, such as in-class writing, oral checks or staged drafts. Otherwise it can't be enforced. Limited use gives the most control but needs the most careful wording, because students have to tell apart similar-looking activities. Open use reflects how people work outside school, but it moves grading toward judgment, verification and reflection. It helps to see how others word their statements. In 2023, educational developer Lance Eaton started a crowd-sourced collection of real syllabus AI policies that shows the full range. One misconception is that a longer statement is clearer. A few precise rules with examples work better. Another is that "no AI" has an obvious meaning. Grammar checkers, search engines and word processors now include AI features, so say which ones are allowed.

More institutions are likely to offer shared statement templates or a common scale, so students see consistent wording across courses while instructors still choose the level. As AI features get built into standard software, statements may shift from naming specific tools to describing the kinds of help allowed. Expect instructors to revise their statements each term based on what worked. How to fairly enforce limited-use policies in take-home work remains an open problem.
An introductory writing course bans AI for all stages of graded essays. The syllabus explains that the course aims to develop each student's own voice, and that some writing happens in class.
A programming course lets students ask AI to explain error messages but not to generate complete solutions. Any AI-assisted code must carry a comment that names the tool and says what it did.
A marketing course encourages AI use. Each submission needs an appendix listing the prompts used and how the output was checked and edited, and students are responsible for any errors.
A biology course sets a limited-use default in the syllabus, and each assignment sheet names the level that applies to that task.

The phrase "AI use" covers very different activities. Naming them tells students exactly what is allowed.
Without some supervised or process-based assessment, a ban on take-home work can't really be checked.
Many everyday tools include AI features, so a statement should say which ones are allowed.
