A sympathy message does not need to fix grief or find a perfect phrase. A short, sincere acknowledgment can let someone know you are thinking of them. Penn State’s Speaking Grief guidance suggests naming the loss, being honest when words feel difficult and offering support in a way that is meaningful to the recipient. There is no single message that fits every relationship or belief. Start with what you know. Mention the person who died or the loss the recipient is experiencing, if appropriate, and use the name the family uses. If you have a genuine memory, share one specific detail. Do not invent a story or ask AI to create a quote from someone who has died. If you did not know the person well, a simple expression of sympathy is enough. AI can help you draft or shorten a note, but give it only context you have permission to share. Specify your relationship to the recipient and the tone you want—warm, brief, professional or nonreligious. Read the draft aloud and remove language that sounds unlike you or assumes the recipient’s feelings. Avoid clichés that minimize the loss or promise that things will improve on a particular timeline. If you offer practical help, make it specific and realistic: “I can drop off dinner Thursday” is clearer than “Let me know if you need anything,” but only offer it if you can follow through. Do not ask the grieving person to manage your schedule. Check names, relationships and beliefs before sending. A card or message is one gesture of care, not a substitute for ongoing support when someone needs it.

Writing tools may become better at adapting tone and remembering a person’s preferences, but grief messages remain personal and culturally varied. A useful tool should make it easier to express care without supplying memories or beliefs the writer does not hold. The most important part is the human follow-through after the card is sent. Messaging tools may suggest language in many tones, but a condolence note should reflect the sender’s actual relationship and capacity to help. Keep the offer small enough to honor and the wording direct enough to sound like a human wrote it. Follow up with care when appropriate.
Tell AI you want a brief note to a coworker whose parent died, then check that it sounds appropriate to your relationship.
Share a true memory of the person and ask for help making the sentence clear without adding details.
Ask for a version that avoids religious language because you do not know the recipient’s beliefs.
