Reference management has two distinct tasks: identifying reliable sources and keeping their bibliographic records organized. Zotero’s documentation describes adding items from a primary webpage or by identifiers such as DOI and PubMed ID, then using word-processor integrations to insert citations and update bibliographies. AI can help propose search terms, group reading notes or point out a missing metadata field. It should not be treated as a source catalog that automatically knows which papers exist. Start with a real article page or identifier. Save the item, then check its title, authors, date, publication and DOI against the record. Zotero may retrieve metadata for a PDF, but imported data can still need correction. Attach the source and use notes that distinguish quotations, your interpretation and AI suggestions. A fabricated citation generated by a chatbot does not become real because it was pasted into a reference manager. Resolve the identifier and open the work. When writing, insert citations through Zotero’s supported plugin and choose the required style. A dynamic bibliography updates when items or citations change; refresh after correcting metadata. Review the final rendered citations because formatting depends on the fields in the library and the style selected. A neat reference list does not prove the cited source supports a paragraph. Read the paper and point to the relevant passage. If the course requires AI-use disclosure, follow that rule for generated notes or text. Keep shared libraries and PDFs within appropriate access and license boundaries. AI services may have different retention and privacy terms from Zotero, so do not send private reading notes or unpublished manuscripts to an unapproved system. The most reliable workflow uses AI for navigation and prompts, Zotero for versioned reference organization, and the researcher for verification of identity, evidence and final citation placement.
