Models may soften a refusal into uncertainty, turn a suggestion into a promise, remove a deadline, add gratitude that implies a relationship, or make urgency sound threatening. A useful check is to list the message’s nonnegotiable content before editing: what happened, what the reader should do, by when, and what the sender is or is not promising. After a rewrite, confirm each item remains explicit. Read the message aloud or ask a colleague from the intended audience how it comes across. In legal, HR, medical or customer-dispute messages, tone edits can change perceived commitments or admissions; follow review procedures and consult qualified advisers when needed. If the message is meant to be warm, add sincere context rather than manufactured emotion. If it must be direct, do not bury the decision in compliments. The goal is a version people can understand without changing what the sender means.
