Cold email starts a conversation with someone who has not asked to hear from you. It may be used for professional networking, research outreach or commercial contact, but those purposes are not interchangeable. A useful message is brief, truthful and relevant. Name the reason for writing, connect it to something specific you verified, and make one clear request that is easy to accept or decline. Do not pretend to know the person, imply a referral that did not happen, or bury the request in a long biography. AI can help outline or edit a draft if you provide accurate context. Give it the recipient’s public role or work, your real reason for contacting them and the request you can honestly make. Ask for a concise draft that uses no facts beyond those details. Then verify names, affiliations, article titles, dates and any claimed relationship yourself. A model may invent shared interests or produce flattery that sounds individualized but is not. Do not upload confidential customer lists, private correspondence or sensitive personal data without authorization. If you cannot explain why this particular person is an appropriate recipient, do more research or do not send. The rules for sending are separate from good writing. In the United States, the FTC says CAN-SPAM covers commercial messages, including business-to-business commercial email; senders must follow its requirements, such as truthful headers, nondeceptive subject lines, a valid postal address and a way to opt out. Other jurisdictions may have different rules. Gmail also publishes technical sender requirements for messages delivered to personal Gmail accounts, including authentication requirements; these are not a guarantee of inbox placement. Check current laws, platform policies and organizational rules before sending campaigns. A clever draft cannot repair an unlawful, misleading or unwanted outreach practice. A recipient’s silence is not permission to keep contacting them indefinitely.

Businesses will continue to face distinct legal, privacy and provider requirements as sending practices change.
