Tell participants if recording or transcription is planned and follow relevant law and organizational rules; U.S. state recording laws vary, and meeting type and setting can change requirements. A tool’s default settings do not equal participant consent. Do not place privileged, personnel, health or restricted material into an unapproved AI service. For closed sessions, public bodies or regulated organizations, check the specific rules for what may be recorded, retained or disclosed. AI can reduce clerical work, but it does not make the minutes official or replace the person accountable for accuracy.
