Give the tool the original text and specify the requested tone in observable terms: for example, “less blunt, still direct; keep the deadline and request.” Add enough context to distinguish a client from a colleague, but do not include confidential material unless policy permits. Ask for a rewrite that preserves facts, asks and commitments. Then compare the result sentence by sentence. Models may soften a refusal into uncertainty, turn a suggestion into a promise, remove a deadline, add gratitude that implies a relationship, or make urgency sound threatening. Do not accept a tone label as proof that the meaning stayed the same. A useful check is to list the message’s nonnegotiable content before editing: what happened, what the reader should do, by when, and what the sender is or is not promising. After a rewrite, confirm each item remains explicit. Read the message aloud or ask a colleague from the intended audience how it comes across. A readability score cannot tell whether a note feels respectful to a particular person or situation. In legal, HR, medical or customer-dispute messages, tone edits can change perceived commitments or admissions; follow review procedures and consult qualified advisers when needed. Tone adaptation is not impersonation or permission to mislead. Keep the writer’s real position, authority and voice. If the message is meant to be warm, add sincere context rather than manufactured emotion. If it must be direct, do not bury the decision in compliments. The goal is a version people can understand without changing what the sender means.

Writing assistants may offer more controls for formality, warmth or directness, but tone labels can still mean different things across people and cultures.
