Ask it to preserve facts, avoid pressure and not invent an excuse or deadline. Verify names, dates, attachments, promises and next steps before sending. In sensitive workplace, customer, legal or medical situations, consider whether email is appropriate and follow the organization’s policy. A model’s confident phrasing does not establish that the recipient has seen or understood the earlier note. Use follow-ups selectively. A second message should add context or make the requested action clearer, not merely repeat the same demand. If there is no response, choose the next step based on the relationship and importance: wait, use an agreed alternative channel, ask an appropriate contact, or close the loop and move on. Respect an explicit “no,” a stated preference not to be contacted and any unsubscribe request. Commercial messages remain subject to relevant law and sender rules even when described as follow-ups. The FTC says CAN-SPAM applies to commercial email, including business-to-business messages. The law and provider rules are not a license to send unwanted messages. There is no universal ideal number or interval of follow-ups; use context and current rules rather than a model-generated cadence.

Send only when there is a legitimate reason, make the next step clear and respect the recipient’s choice not to engage. A person still decides when contact is appropriate.
