Writing a press release with AI means using a language model to turn a verified fact sheet into the standard news format: headline, dateline, a lead paragraph answering who, what, when, where and why, supporting detail, quotes, boilerplate and a media contact.
It matters because small organizations and nonprofits often lack PR staff. AI can produce a clean structure quickly, but a newsworthy angle, real quotes and accuracy still depend on people.
A press release follows a predictable format because journalists skim hundreds of them. The standard parts are: - A release line: 'FOR IMMEDIATE RELEASE', or an embargo date and time. - A headline, and optionally a subheadline. - A dateline, giving the city and date. - A lead paragraph that answers who, what, when, where and why. - Body paragraphs in 'inverted pyramid' order, most important first, so an editor can cut from the bottom. - One or two quotes. - A boilerplate 'About' paragraph describing the organization. - Media contact details. - An end mark, traditionally '###'. Many releases run about one page. AI handles this format well, which creates two risks. The first is canned language. Models default to phrases like 'We are thrilled to announce' and 'a leading provider of innovative solutions', which reporters ignore. A useful quote adds what the facts cannot: an opinion, a reason, a stake or a vivid detail from someone who was there. The second risk is fabrication. Never publish a quote attributed to a real person unless that person has reviewed and approved it. Check every date, figure and name against your fact sheet. Fit the story to the outlet. Local papers want local people and local impact. Trade publications want data and implications for the field. Broadcast outlets want visuals and interviewees. For a small nonprofit, a short personalized pitch to the right reporter often achieves more than paying a wire service to distribute the release widely. Wire distribution can help with visibility, but it does not guarantee coverage. The common misconception is that a release is the story. It is a tool that helps a journalist decide whether a story exists, and how easy you make that decision matters.

What helps a small organization stand out is less affected by automation: a real local angle, access to people worth interviewing, accurate data and a relationship with the reporter. Some outlets and wire services are publishing policies on AI-generated submissions. Read the outlet's own guidance before assuming how it will treat your release.
A food bank director fills in a one-page fact sheet covering the new pantry's opening date, address, hours, partners and the number of families served last year. She asks the model to draft a 400-word release in AP style plus three alternative headlines.
A small theater company's volunteer asks the model to rewrite the artistic director's draft quote, which begins 'We are thrilled to announce'. The new version states why this play matters to the town now. The director then edits and approves the final wording.
A community clinic asks the model for two versions of the same announcement. One leads with a local family's story for the city newspaper. The other leads with service data and a policy angle for a health trade publication.
A startup nonprofit uses AI to draft a short, personalized pitch email to one education reporter. The email mentions the reporter's recent story on school literacy and attaches the release, and it is not sent to a mass list.
