AI can turn authorized notes or a transcript into a draft of meeting minutes, but a responsible person must verify actions, decisions, names and votes before approval.
Minutes are often a record of what a group did, not a word-for-word transcript; the organization’s bylaws, laws and procedures determine required content. Obtain permission before recording or uploading meeting content, and protect confidential information.
Meeting minutes are a record of a meeting, but they are not always a transcript. Robert’s Rules of Order says ordinary minutes primarily record what was done, not what members said. An organization’s bylaws, adopted procedure, governing law or regulator may require more or different detail. A formal board record may need the exact motion, disposition or vote; another team may use a lightweight decision and action log. Determine the governing requirements before choosing a template or asking AI to draft. AI can organize notes or a permitted transcript into sections for meeting details, attendance, motions or decisions, votes, action owners and deadlines. It may mishear names, turn a proposal into an approved decision, omit dissent or invent a task to fill a gap. Compare each item with the source record. Mark unclear points for the chair or participants rather than resolving ambiguity by guess. The responsible officer should review the draft and follow the organization’s process for correction and approval. Keep the final record in the authorized location and retain or delete source recordings according to policy. Recording and processing meeting content raise separate consent, privacy and confidentiality questions. Tell participants if recording or transcription is planned and follow relevant law and organizational rules; U.S. state recording laws vary, and meeting type and setting can change requirements. A tool’s default settings do not equal participant consent. Do not place privileged, personnel, health or restricted material into an unapproved AI service. For closed sessions, public bodies or regulated organizations, check the specific rules for what may be recorded, retained or disclosed. AI can reduce clerical work, but it does not make the minutes official or replace the person accountable for accuracy.

Speech recognition and summarization may improve, but a fluent transcript can still assign words to the wrong person or misstate whether a proposal passed. Organizations will need to define consent, access, retention and correction processes when AI tools handle meeting records. Public boards and regulated settings may face requirements not captured by generic templates. Human review remains essential because minutes can become an organization’s record of decisions and commitments. Tools should expose uncertainty and preserve links to source material rather than turn guesses into official facts.
A volunteer secretary gives an approved tool the agenda and notes, then checks motion wording and vote count against the organization’s record before circulating minutes.
A committee asks AI to turn an action log into concise minutes while preserving the named owner and due date, then corrects an incorrect attribution.
A board checks applicable law and policy before recording a closed session, restricts access and avoids uploading the recording to an unapproved service.
A team with no recording uses contemporaneous notes to list decisions and assigned tasks instead of asking AI to invent missing discussion.
