Tightening writing means removing material that does not help the reader understand the point, while keeping the evidence, qualifications and actions that do. AI can help identify repeated claims, filler phrases, long openings and sentences that can be combined. It cannot know which detail is essential unless you tell it the audience, purpose, limit and nonnegotiable content. Before shortening, check the actual submission rules. Some limits count words, others count characters, spaces, references or headings differently. Save a copy of the original and mark the required facts, examples, citations, caveats and requests. Ask the model to propose cuts or explain repetition without changing meaning. Then compare every major edit with the source. A rewrite may drop a condition, switch “may” to “will,” remove attribution or change who is responsible. If a sentence is necessary but too long, reorganize it rather than deleting its meaning. A useful process is to edit in passes: remove duplicate points, cut throat-clearing, replace wordy phrases with direct wording, then check whether examples and transitions still support the argument. Read the result aloud to catch abrupt logic. Recount using the form or tool that will receive the final text, because different systems may treat hyphenated words, headings and citations differently. If the draft is subject to academic, legal or funder requirements, confirm that edits comply with them. Do not let AI add unsupported claims just to make a shorter draft sound stronger. Shorter writing is not automatically clearer. CDC guidance on clear writing emphasizes audience, purpose and accurate meaning; it warns that reducing readability scores alone can produce text that no longer says what the author intended. Ask whether a reader can still locate the central point, evidence and next step. If not, restore or restructure the missing information. The writer owns the final word choice and the obligation to fit both the limit and the purpose.
