Planning a party or event with AI means giving a chatbot such as ChatGPT, Claude or Gemini your guest count, budget, date, space and theme, and getting back checklists, budgets, run-of-show timelines and invitation text.
It matters because most event planning is organizing many small decisions, which AI drafts quickly, so you can spend your time on the choices only you can make.
A general-purpose chatbot does not plan events the way a human planner does. It predicts useful text based on patterns from a huge amount of writing, including many party checklists, schedules and invitations. That makes it fast at producing structure, but the quality of the plan depends almost entirely on the constraints you give it. A prompt that says 'plan a birthday party' gets a generic list. A prompt with the guest count, ages, budget, date, start and end time, location, theme, and constraints such as allergies or a small apartment gets a plan you can actually use. A practical workflow has five stages. First, write a brief with all those details. Second, ask for a checklist built backward from the event date, so each task gets a deadline (order the cake one week before, buy decorations three days before). Third, request a budget table with a line for each category and a total. Fourth, ask for a run-of-show: a timed schedule of what happens during the event and who handles each part. Fifth, generate invitation text and, if you like, artwork using image tools or the AI features in design apps such as Canva. There are common misconceptions. A chatbot cannot confirm that a venue is free, that a bakery is open, or what balloons cost at your local store. Its price estimates may be outdated or guessed, so treat them as placeholders. It also cannot book anything on its own in a standard chat. Suggested food quantities are rules of thumb, not guarantees. For allergies and dietary needs, the AI can suggest menu ideas, but you still need to ask guests directly and check ingredient labels yourself. Keep one master document or conversation as the source of truth so decisions do not get lost.

Chat assistants are gaining web browsing, shared documents and agent features that can look up options or fill in forms on your behalf. That could make it easier to compare venues or draft orders from a single conversation. Even so, these features can misread pages or choose wrong options, so it is sensible to review anything before it is paid for or sent to guests. The core skill will likely stay the same: writing a clear brief, checking the numbers, and keeping a human in charge of commitments, money and guest safety.
A parent types: '7-year-old, 12 kids, backyard, $150 budget, dinosaur theme, 2 to 4 pm' and gets a shopping list, three games timed to fit two hours, and a backup indoor plan in case of rain.
Someone hosting a 40-person retirement party asks for a budget table split into venue, food, drinks and decorations, then asks the AI to find 15% in savings by turning dessert into a potluck contribution.
A baby shower host requests a run-of-show from 1:00 pm arrivals to 3:30 pm cleanup, listing what happens at each point and which friend is responsible for gifts, food and photos.
A host asks for the same invitation in three versions (a casual text, a printed card and a group-chat message), each with the RSVP deadline, a question about dietary needs and parking notes.
