Redaction removes or limits access to information that should not appear in a public filing or disclosure. For federal court filings, Rule 5.2 generally limits specified personal identifiers: social-security and taxpayer-identification numbers to their last four digits, birth dates to the year, a minor’s name to initials, and financial-account numbers to their last four digits. The rule applies to filings with the court and has exemptions and options for sealed or reference-list filings. Local rules and court orders may require additional protections. Do not assume Rule 5.2 sets the full standard for every produced contract, discovery response, or private document. AI and OCR tools can flag possible names, numbers, addresses, and other sensitive fields, but context matters. A number may be a case identifier rather than an account number; a name may identify a public official or a protected minor. False negatives can occur in scans, tables, handwritten text, images, headers, footers, or attached files. Human reviewers should confirm the applicable rule and the actual material to redact. Applying a visible black box is not necessarily the same as permanently removing the underlying text or image. PDF tools provide redaction actions that remove selected content; sanitization can also remove hidden information such as metadata, embedded content, comments, or layers. Review the final saved file by searching and copying text, inspecting images and metadata, and opening it in another viewer. Keep a secure original and a redacted copy with clear version tracking. AI can assist discovery, but the filer remains responsible for accuracy and court compliance.

Better auditing can record why each item was removed and test for missed identifiers. Teams should use current court guidance and verify the final artifact before filing or sharing.
