AI can help turn approved writing samples and stakeholder decisions into a practical brand voice guide.

A brand voice guide is a reference for how an organization communicates across channels. AI can help analyze examples and organize decisions, but it should not invent a personality from a handful of old posts. The creation process starts with a brief: audience, purpose, products, values and contexts where the voice will be used. First, select representative samples. Include material the organization is proud of and examples from several formats, such as an email, a website page and a support response. Remove drafts, outdated offers and private customer information. Note why each sample was chosen. If a sample was written by an outside contributor, check that it may be used in the approved tool and guide. Next, ask AI to identify recurring features in the sample set. Request exact excerpts for patterns like sentence length, formality, pronouns, jargon, humor, punctuation and calls to action. Separate direct observations from interpretations. “Uses contractions” is observable; “sounds trustworthy” is a judgment that brand owners should confirm. Turn validated patterns into usable rules. Define a small number of voice traits, describe what each means, and include a good example, a counterexample and a reason. Explain tone adjustments for different situations, such as a product announcement, a complaint response or a policy notice. Add preferred names, terms to avoid and factual claims that require separate evidence. Keep style advice distinct from product specifications and legal requirements. Finally, test the guide. Have two writers revise the same draft without seeing each other’s work, then compare whether the rules led to the intended voice. Ask a representative reader whether the text feels clear and appropriate. Revise ambiguous rules and give the approved guide an owner, version and date. Share the final reference with the people who create copy and show how to use it with AI prompts. The guide is the outcome of this process; maintaining it is a separate ongoing job.

AI may make it faster to organize sample writing and test guide drafts with new examples, but the final voice decisions belong to the organization.
