ChatGPT prompts for accountants are structured instructions that get a general-purpose AI chatbot to help with accounting work such as explaining variances, drafting client emails, writing Excel formulas and summarizing accounting standards.
They matter because a well-specified prompt produces a usable first draft in seconds, but every output still needs checking against the source data and the authoritative standard.
A strong accounting prompt has six parts: a role (for example, a senior financial analyst), context (the business and the purpose of the output), the input data, the task, the output format, and constraints such as length, audience and "use only the data provided." Adding an instruction to mark anything uncertain surfaces the parts a reviewer should check first. Including one or two examples of your own writing helps the model match house style for client emails. Four uses stand out. For variances, give the model a clean table with the changes already calculated and ask it to draft explanations. For client emails, specify what you need, the deadline and the tone. For Excel, describe the sheet layout, the result you want and your Excel version, because functions such as XLOOKUP are unavailable in older versions like Excel 2016. For standards, ask for plain-English summaries, such as the five steps of ASC 606: identify the contract with a customer, identify the performance obligations, determine the transaction price, allocate it to the obligations, and recognize revenue when or as each obligation is satisfied. Accuracy checks are essential. Chatbots can make arithmetic errors when calculating in text, invent or misstate paragraph references, and miss standards updates issued after their training data ends. Verify summaries in the FASB codification or IFRS standards themselves, test formulas on sample rows that include edge cases such as blanks and duplicates, and tie any figures back to the ledger. Confidentiality matters too. Do not paste identifiable client data into a consumer chatbot account; use tools your firm has approved, with appropriate data controls, and anonymize where possible. A common misconception is that the chatbot knows your ledger or client; it only knows what you give it.

AI assistants are increasingly built into the tools accountants already use, such as Microsoft Copilot in Excel and assistants inside accounting and tax software, which reduces copying data into a separate chat window. As that happens, the key skill shifts from phrasing prompts toward specifying checks and reviewing outputs. Firms and professional bodies are developing policies on acceptable use and confidentiality, and those policies are likely to shape which tools accountants can use with client data. The need to verify figures and citations is unlikely to disappear.
Variance prompt: "Here is a table of August and July operating expenses by department, with changes already calculated. For the three largest dollar changes, write a two-sentence explanation using only this data, and mark any explanation that needs confirmation."
Client email prompt: "Draft a polite email under 150 words asking a small-business client for their missing 1099-NEC forms and December bank statements by the 10th. Use plain language and match the tone of the two example emails below."
Excel prompt: "Write an XLOOKUP formula for cell D2 in Excel for Microsoft 365 that returns the amount from the Invoices sheet where column A matches A2, shows 'Not found' if missing, and explain each argument."
Standards prompt: "Summarize the five steps of revenue recognition under ASC 606 in plain English for a new staff accountant, then list which points I should verify in the FASB codification."
